UFY Program and Office Manager for

Status: Part-Time Non-Exempt - (35 hours per week)
Compensation: $11 - $13 per hour to be based on experience.
Educational requirement: Bachelor’s Degree plus minimum 3 yrs in a related field
Reports to: Administrative staff

Essential Functions and Key Responsibilities:

· Serve as the main programmatic contact for UFY. Must spend a minimum of 20 hours per week in UFY office, planning, answering phones, etc.

· Act as liaison between program staff and UFY administration

· Responsible for all maintenance and distribution of all program materials, office supplies and program receipts

· Coordinates weekly program staff meetings

· Plans, designs, organizes, and coordinates activities, curriculum, and events to foster Project Guuleysi goals and objectives

· Trains and supervises project coordinators, volunteers and others involved in Project Guuleysi

· Makes frequent assessment of program operation, and recommends modifications to better achieve desired results of the program

· Generates content for and gathers written grant reports concerning programming activities, objectives, and effectiveness in accordance with grant requirements

· Gives formal and informal presentations to individuals and groups to explain and promote UFY and Project Guuleysi

· Supervises and instructs volunteers and mentors

· Participates with administrators in the development of program budget, applications for funding, and the disbursement of funds

· Develops relationships with community agencies to strengthen UFY and Project Guuleysi

YMCA Program Director Full time YMCA 21st Century Program Director for

Education and Qualifications: BA or BS in Child Related fields Elementary or Secondary Education, Physical Education and Recreation, Child/Youth Development, Child Guidance/Counseling, Child Psychology, Family Studies, Social Work or Human Development.

Administrative experience in program management, budgeting, staff supervision, and curriculum development preferred.

Report to: YMCA Senior Director of Youth and Family

Compensation: $30,000- $35,000

Program Director Responsibilities: (include but not limited to)

Be familiar with 21st Century Grants (Project Excel, V.I.P. T.E.A.M. ) and contracts with Utah State Office of Education and Department of Work Force Services.

Develop program policies and practices for the junior high afterschool 21st Century Community Learning Centers in cooperation with staff, youth and parents.

Screen applications, set up interviews, hire staff, complete new hire paperwork.

Training for new staff throughout the year and assist in organizing beginning year training

Maintain staff work schedules and hours

Input time sheets into ADP and maintain actual time sheets

Meet regularly with a meeting agenda for Project Managers and Site managers to ensure smooth day to day operations to achieve grants program goals and objectives

Evaluate programs and staff, twice a year using the Utah Afterschool Network Quality Assessment and Improvement tool and YMCA Employee Performance Assessment tool

Determine staff development needs in cooperation to all staff in accordance to evaluation results

Maintain individual site folders for roll books, sign in /out sheets, calendar, block reports, club planners, staff assignments, site evaluations, snack evaluations, and yearly paperwork

Understand and develop each program budget, determine site budgets, and approve expenditures in accordance with site budgets

Assist in quarterly billings

Assist with program curriculum development and ensure implementation of curriculum through programs through reviewing monthly calendars and assisting staff with curriculum implementation

Conduct site visits and provide suggestions to staff for program improvement.

Assist in development and implementation of program marketing, campaigns, materials.

Develop positive relations with district and school administration, school staff and established community partners

Develop Community Connections and build new partnerships

Develop with administration team a sustainability plan and work toward sustainability over the grant period

Prepare 21st Century contracts (M.O.U.’s) for community partners at the beginning of each year. Track partners in-kind –cash match.

Plan and conduct 21st Century Partners Meetings four times a year.

Work with Project Mangers to publish and distribute the Quarterly 21st Century Newsletter to all of our partners, parents, and community organizations.

Prepare reports from data collection to input into 21st Century PPICs report.

Other duties as assigned.
